Public website
Most of the public site is static HTML and CSS. The waitlist and the private-pilot request form load Cloudflare Turnstile to prevent automated abuse. Turnstile processes browser and network signals to verify the submission.
The site includes no analytics script. Cloudflare processes network requests to deliver the site. The protected client application includes no marketing analytics or session replay.
Pilot requests
If you request a pilot, OwnMind stores your name, work email, company, optional role, expected number of pilot users, use-case description, and confirmation that you will use suitable material. These details are used only to assess the request, contact you, and manage the evaluation.
Pilot-request details are retained for up to 12 months after the last contact, unless they are needed for an active pilot or you ask for earlier deletion. The request form does not ask for confidential, regulated, or production information.
Waitlist
If you join the waitlist, OwnMind stores your email address, when you joined, and which sign-up box on the page you used. It is used only to tell you when a pilot slot opens.
Your address is kept until you ask to be removed, or for up to 12 months after the last contact. Removal deletes it rather than marking it inactive.
Pilot identity
Cloudflare Access processes the email address used to authenticate an invited pilot user. OwnMind checks the signed identity and a local list of invited email addresses. Administrator document changes also record the administrator identity and document version in a local audit log.
Pilot content
The current workspace offers temporary chat only. Conversation text and citations stay in the browser tab's memory and are processed on the local evaluation host without saving chat history. Earlier turns may be sent again to resolve follow-up questions. Customer content is not used to train shared models.
Retention and deletion
Closing or refreshing the tab clears its temporary conversation. Temporary attachments, when enabled, are parsed for one request and are not indexed or saved; follow-up requests require reattachment. The current workspace has no saved conversation history or personal long-term memory.
Approved company documents
Company Mind documents are separate from temporary attachments. When the administrator feature is enabled, explicitly approved documents are indexed on the evaluation host and searchable by everyone in that workspace. They remain until an administrator or operator deletes them. Deleting a source does not erase excerpts already displayed in an open tab.
The operator must agree and verify document removal and any backup retention at pilot close-out. Automated encrypted backups and restore testing are deployment gates, not a verified capability of the current evaluation host.
Service providers
Cloudflare provides public-site delivery and, for the remote pilot, authentication, TLS termination, and encrypted tunnelling. Email providers process messages sent to OwnMind addresses. No third-party model API is used for pilot inference.
Your choices
Use New chat or close the tab to clear the temporary conversation. Authorized administrators can remove browser-added Company Mind documents; operator-installed documents require operator removal. For access or deletion questions, use the request form and say what you need.
